What a same-day-ready RFQ looks like
Most micropurchase quotes that bog down on the vendor side are missing one of three things: a clean line-item list, ship-to with a real point of contact, and the funding window. When all three arrive in one email, a quote can go back the same business day.
- Line items with manufacturer part numbers where applicable, or a one-sentence functional spec where not.
- Ship-to address, receiving hours, and a point of contact for delivery coordination.
- Need-by date and any funding-expiration constraint.
What we send back, and when
Our standard turn on in-stock product is same business day if the RFQ arrives before 2:00 PM Central. Configured or sourced items run one to two business days. Quotes are good for 30 days and include freight, lead time, and any handling notes the cardholder needs for the file.
Common reasons quotes get delayed
A vague spec is the biggest one. "Need 12 monitors" forces a follow-up email; "Need 12 Dell P2422H or equivalent 24-inch IPS, HDMI + DisplayPort, ship to building 4" does not. The second one gets quoted in the same window the cardholder is sitting in their inbox.

Do you accept government purchase cards?

Yes. We take GSA SmartPay and equivalent state and local purchase cards for any order at or below the cardholder's single-purchase limit.
Will you quote against another vendor's part number?

Yes. Send the part number you priced elsewhere; we will quote that exact item or note where we can only offer an equivalent.
Do you charge for quotes?

No. Quotes are free and good for 30 days from issue.
